Not Just the Basics

Your digital accountants
We’ve been Xero gold champions and a fully digital practice for over 13 years

You want real-time numbers that save time, reduce human input and automate as much as possible. But you’re not quite sure what software to start with. That’s where we come in: the software geeks, the app stackers and the trend watchers. We’re at the forefront of fintech and we test and try out all the Xero add-ons. Helping you find better ways to manage receipts, forecasts, mileage, staff and suppliers, all in an integrated system that speeds up data flow and removes the need for manual input. Even if you think your software is on point, let our systems sleuths look into things and maybe suggest better ways of managing the numbers in your business.

Our software stack

Our team attend regular accountancy events and exhibitions, staying ahead of the latest developments in software and finding out about new platforms on the market. We research everything, request demos of software we think will suit our clients and, where relevant, test the platforms on our own team first.

Not just early adopters… We saw a Xero demo in 2010, just as the software had emerged in the UK. By 2012, we’d transitioned all our clients to Xero, and we’ve been using this marketing-leading cloud accounting software to transform the way they do business ever since.

Thanks to Xero’s easy-to-manage platform, intuitive payment processes, and simple way to raise invoices, our clients have stronger visibility of their numbers – and so do we.

Dext told us we’re “one of the most forward-thinking accountancy firms [they] work with”. And we’re confident our great partnership with this global bookkeeping software business makes our clients’ expense claims easier to process.

We find Dext captures, extracts and sorts documents, such as receipts, smoothly and simply. It’s really intuitive, learning and adapting from the information you input to make data entry so much quicker and easier.

We have a great relationship with family-run Tripcatcher, so we’re always one of the first to know about software updates that help you track your business mileage on the go.

The Tripcatcher platform works seamlessly alongside Dext and Xero to publish all your mileage claims in one place. It also calculates mileage split against VAT, so it’s a brilliant tool for our VAT-registered clients (as well as those looking to keep track of their billable journeys).

Not Just Numbers was one of the first accountancy practices to test Futrli’s cashflow forecasting platform back in 2014, and we’ve been part of the Futrli family since its launch.

We still believe Futrli is the only forecasting software that meets our (high) standards. We use Futrli’s reporting tools to give you clear, actionable insights into your business to help you make the right decisions about your financial future.

Chaser is a brilliant piece of software to chase your debts for you. Acting as an external credit controller, Chaser takes the time and pain away from payment requests with its automated processes to remind clients what they owe. You can scale up, too, as Chaser will call clients on your behalf if you’re really struggling with payments.

Our clients really like Chaser’s third-party platform, which makes sure debts are paid while keeping client relationships strong. In fact, we use it ourselves (when we have to!).

We’ve used Modulr automated payment service software for years, especially when processing payroll for our clients. It links with BrightPay payroll software, which we use internally, and connects with Xero to automate your staff salary payments.

We find Modulr’s intuitive processes always pay exactly what’s on the payslip, removing the risk of error with secure, real-time transfers. Some clients use Modulr for invoicing, too.

Apron syncs with Xero to keep cash flow under control with easy ways to approve, pay and track bills and wages.

One of the things our team like most about Apron is its employee expense cards. When you sign up to Apron with us, you get up to 10 of these cards for free. Pre-load them with funds to seamlessly simplify employee payment processes across your business.

GoCardless is direct debit software, brilliant for streamlining repeating invoices. We can set up GoCardless for you with just a direct debit mandate from your clients and suppliers, making it easy to collect both recurring and one-off payments.

GoCardless works really well if you have multiple invoices to issue on a regular basis, as you can raise payments and get paid without having to do a thing.

Naturally, many of the documents we process are confidential, and sometimes sensitive. To protect you, we use Docsafe: a secure portal for sending data without the risk of sending emails.

You can sign documents, such as tax and VAT returns, on Docsafe. It’s also a safe storage platform, so you can revisit and download your files whenever you need to.

Hubdoc software is an add-on for clients on Xero, which offers a smooth way to publish and process your receipts.

The platform has low-cost bookkeeping options, either to enhance the software you already use or to suit you if you’re keeping to a tight budget.
